Evaluation management for districts with more campuses than one spreadsheet can hold
EvalCamp is evaluation management for Texas special education teams, from referral to the initial ARD. Your IEP system holds the record and stays exactly as it is. EvalCamp runs the work around it.

Coordination gets harder with every campus
The evaluations are spread across many campuses and a team that is rarely fully staffed. Vacant evaluator seats get covered by contract evaluators, and each departure takes the state of the queue with it.
Most of the week goes to the coordination around the evaluations: finding who's working on what, chasing a status update, and rebuilding the status picture by hand before anyone can read it.
That is the gap EvalCamp fills. Every evaluation shows who's working on what and its Texas deadlines in school days, with reporting from the district down to a campus or a single evaluator.
What the director sees, what a campus sees, what an evaluator sees
Everyone works from the same record. Each role sees the part of it they are responsible for, so nobody has to assemble a status report by hand.
The director opens the Reporting Summary
Overdue compliance, what is due in the next seven days, the compliance watchlist, evaluations that still need an assignee, campus risk, and forms still out. Filter to one campus in a click.
A campus admin can submit the referral
When the referral starts on the campus, the 15-school-day clock starts with it, and the campus can see where each of its evaluations stands without emailing the evaluation office.
An evaluator sees their own evaluations
Every evaluation assigned to them, across every campus they serve, each with its open tasks and deadlines. When a task is done, the right person is notified automatically.
For enterprise districts, reporting by area or evaluation team is in preview. Ask for the walkthrough.

A rollout planned around your campuses and teams
Large districts usually go live in one planned rollout: every tracker imported, campuses and roles set up, and your teams trained together. Enterprise districts go in waves, a group of evaluation teams and the campuses they serve at a time, with every campus verified by week ten.
-
Week 1Wave one live
First teams trained, their open evaluations loaded from the trackers they use today.
-
Week 3Wave two live
The next group of teams, with what wave one learned already built in.
-
Weeks 5 to 6Wave three, all teams live
Every evaluation team works in EvalCamp, and referral intake runs the way your district set it up.
-
Week 10Every campus verified
Each campus's evaluations checked against its old tracker, so nothing was left behind.
- Microsoft or Google single sign-on, set up with your IT team
- Your district calendar, loaded and checked
- Every campus set up
- Roles assigned for every user
- Import of every existing tracker, in every wave
- Live trainings for each wave
- Recorded walkthroughs for staff who join later
- Elevated support and a dedicated point of contact through the rollout
- A 60-day review built from your own data
Large plans: onboarding is done by us and included in the annual price.
Your first months are a no-fee rollout period under a signed order form and an executed DPA. At the end of that period you may end the agreement at no cost.
If you continue, the implementation package is invoiced once, with your first invoice. One flat annual price covers every user, every campus, and unlimited evaluations.

Contract evaluators get scoped access
When a vacant seat is covered by a contract evaluator, they get a contractor account: read-only, and limited to the evaluations they are assigned and the campuses they serve. They see the same deadlines and tasks your staff see and nothing else in the district. When the contract ends, you turn the account off, and the evaluations, their history, and where each one stands stay with the district.
